Bulk Asset Upload

If you have a large number of assets you need to upload, then the Bulk Upload Tool makes this process quick and easy.

The Bulk Upload tool allows you to upload assets in one go and assign default metadata, taxonomies and expiry information to all assets. These assets can then be updated individually, if required.

Please note, you will need the right permits to perform this action.

To upload multiple assets into an asset library:

  • Click the Admin button in the Partners toolbar at the top of the screen
  • Select the Bulk Upload option  to start the bulk upload process
  • Select the Asset Type to be uploaded
  • Click Next
  • Select the relevant attribute from the drop down menu
  • Click Next
  • Tab 1. Upload Files
    • Continue to add files until all the files you need appear in this window
    • Click Start Upload option if the upload doesn’t automatically start
      • The progress of the upload will be indicated by the status %
      • You can continue to complete the details in the remaining tabs whilst the files upload in the background
    • Click Next if you are not automatically taken to Tab 2.
  • Tab 2. Enter Default Attribute Values
    • Add the same metadata to all the assets in this upload by adding the information to the relevant fields
    • It is not mandatory to add any information to these fields although it is strongly recommended
    • Click Next
  • Tab 3. Select Default Attribute Values
    • Add the same taxonomies to all the assets in this upload by select the categories that apply to all assets in this batch
    • Click Next
  • Tab 4. Set Expiry Dates
    • Add the same Embargo, Rights Start/End and Expiry dates to all assets in this upload
    • Click Next
  • Tab 5. Publish or Edit
    • Select one of the options presented:
      • Create the new assets as drafts, and edit them individually – see section below on how to use this feature
      • Publish all assets using the default values I’ve specified – see section below on how to use this feature

Create the new assets as drafts, and edit them individually

Allows the metadata and taxonomies to be applied to all the assets in this upload batch. You can now access each asset individually to update the metadata on an asset by asset basis to ensure it contains all the relevant metadata before publishing the content to the live environment.

  • Select the ‘Create the new assets as drafts, and edit them individually’ option
  • Click Continue
  • From the Edit Asset Attributes page, click the Start Editing button 
  • Work through each asset, adding metadata relevant to each asset
    • Click the Skip To Next button if no amendments are needed to an asset, 
    • Click Save and Edit Next if amendments have been made to this asset and you want to move on to the next
    • Click Save and Edit Previous if amendments have been made to this asset and you want to move back to the previous asset
    • Click Skip To Previous if you want to move back to the previous asset without saving any changes to the current asset
  • Click Finish
  • All assets in this batch will be uploaded to the relevant asset library

Publish all assets using the default values I’ve specified

  • Select the ‘Publish all assets using the default values I’ve specified’ option
  • Click Continue
  • The Assets Published page confirms all the assets that have been published to the relevant asset library
